ICT: Store files

KAU has two tools for storing files: Box for general file storage and KauPlay for storing videos.

Store files? Special tools for that? Of course, we store files on our own computers’ hard disk and of course we store files that are associated with a specific course in Canvas’ course website (In the Files function). But the Box and Kauplay tools have special features that “regular” file storage cannot handle.

Box

Box is a storage place where you can easily and securely share files with your partners, colleagues and students. It is enough that you have an account in Box and decide who gets access to a certain file, e. g. students or partners outside the university.

Box is the university’s alternative to services such as Dropbox, with the difference that Box meets the security requirements that GDPR imposes on us.

You can also use Box to co-write, so that several people work at the same time in a document. It’s called Box Notes and is a feature of Box. (It is similar to Google docs, for example, but meets the GDPR security requirements.).

There is plenty of space, the storage space is 40 GB per user and individual files can be up to 5 GB in size. And if you need more, you contact the IT support. The files can be accessed from web, computer, tablet and cellphone.

You can e.g. use Box to give students access to files that are too large to be stored in Canvas Files.

KauPlay

KauPlay is used to create, store and publish video.

Teaching material in video form must be subtitled (See Subtitling of video) and the routine for this is require you to store the video file in KauPlay, so Kauplay is where we will add self-produced video teaching material.

You can e. g. record yourself with the Kaltura Capture plugin (See Record video). Then the video file automatically ends up in KauPlay and can easily be added to pages in e. g. Canvas. But of course if you record in another way, the video can still be manually uploaded to KauPlay.
